[Committee] Preparations for Prof MacKay's talk tomorrow.

Dear Committee Members and Caius People,

Our first major event approaches! We are looking forward to great  
turnout on what should be a fantastic night in the Bateman Auditorium.
We are looking for some help to make our event work smoothly.
Please let me know if you might be free around 5:45pm to help get  
refreshments and put up signs and then from 6:45 for final  
preparations for our first event (7:15) and then our main talk at 8pm.

We especially need a few people to help set up and a few people from  
Caius to help us organise refreshments. Thanks!

Schedule for tomorrow evening:

REFRESHMENTS
This will involve:
Someone buying 2-3 bottles of wine from Threshers. ()
Someone to bring a corkscrew and 50 plastic cups ()
Someone to buy & bring 5 bottles of local apple juice (SJS)

A few (2-3) people from Caius to each buy 3 bottles of Wine on their  
College bill. (what we don't use, we can return without charge - if we  
do use the wine you will of course be reimbursed by the society). (,)
Someone from Caius asking the bar/kitchen for 50 wine glasses ()
Someone from Caius asking the kitchen office for some jugs of water. ()

 From 5:45pm a group (including some Caius-based people) will meet to  
get any final refreshments and to set up signs.

SIGNS
Someone to provide direction signs within Caius and put them up from 6pm. ()
Someone from Caius put up a sign on the board outside the college. ()


LAPTOP
Someone to provide a PC laptop. This should have a monitor out port  
and a USB port. ()


ARRANGING THE ROOMS
5:45pm - Arrange signs and drinks

6:45pm, the committee will arrive, open the two rooms and ensure  
everything is working correctly.
One group will set up the laptop on the projection system in the  
Bateman Auditorium. The other group will ready the Bateman room for a  
drinks party.

7:15pm I will give a short introduction to the society and there will  
also be a short introduction to CAMACAG, a town-based group that will  
meet in the CB1 cafe every month (Philip Slater). (Venue: Bateman room  
- or Bateman auditorium if the Bateman room is not ready)

7:40pm, (Bateman Room) there will be a short break and a chance for  
people to mingle.

8pm, (Bateman Auditorium) David's talk will begin

8:50pm: technical questions (BA), followed by time for further  
refreshments and discussion (BR if necessary).

Prof David MacKay is the Senior Treasurer of the Cambridge Zero Carbon
Society. He is writing a book on Sustainable Energy.
